# Spare-parts quotation warning signs for UAE workshops

A spare-parts quotation deserves clarification when the exact reference, condition or support route is unclear. These gaps do not automatically prove that.

A spare-parts quotation deserves clarification when the exact reference, condition or support route is unclear. These gaps do not automatically prove that the trader or item is unsuitable. They identify questions that should be resolved before the workshop commits money or allows the component to enter its repair process.

## Vague fitment assurances

Ask for the offered part number and supporting application information. A statement that it fits the same model may omit configuration differences the qualified technician needs to assess. Photographs can help identify an item but should not be treated as proof of technical compatibility.

For example, an older vehicle may have a replacement assembly already fitted. The enquiry should reflect the actual configuration rather than rely entirely on a broad catalogue description.

## Condition language without explanation

Require the supplier to distinguish new, remanufactured, refurbished and used items accurately. Ask what evidence supports the description and what limitations remain. Do not infer quality, remaining life or acceptable use from the label alone.

The workshop's qualified team should decide which options are suitable for the component and repair. A low price should not pressure purchasing to make that decision on its behalf.

## A warranty or core promise without terms

Ask who handles a fault, what records are needed and how return eligibility is affected by the actual circumstances. Where a core exchange applies, obtain the eligible component, conditions, deadline and credit process in writing.

A quoted price after expected core credit can conceal a larger immediate commitment. The buyer should understand what happens if the supplier does not accept the returned core under the agreed terms.

Ask whether the quoted part is physically held or only located through another seller. A trader may be willing to source an item without having secured it. The workshop needs that distinction before promising a repair completion date to its customer.

## Unannounced source or item changes

Require approval before a different reference, source description or condition is supplied. Resolve unexplained differences between the seller, invoice and payee through normal purchasing controls. Scarcity or an urgent repair should not replace a traceable transaction.

Keep the accepted clarification with the job record and verify the delivered item before installation under workshop procedures. A transparent offer may contain limitations that qualified reviewers choose to accept. An ambiguous offer leaves the garage unable to understand which technical and commercial decision it is making, even if the component arrives quickly.
