A sample test should answer whether the exact proposed device works in the business's intended setup. A quick power-on check or showroom demonstration may miss mounting, accessory, software or operating constraints. Define the questions before receiving the sample and keep the result tied to a precise model and configuration.

## Select a representative unit

Record the manufacturer part number, regional variant and supplied accessories. Confirm that the sample represents the products the supplier intends to deliver, rather than a different demonstration model. If a material characteristic cannot be matched, state the limitation before relying on the test.

Use the intended physical setting where practical. A device that works on a desk may behave differently when placed in an enclosure, attached to a mount or connected through the planned cabling arrangement.

## Test the required workflow

Have the responsible technical or IT team define the functional checks. Test the actual application, connections and user interaction that justify the purchase. Include restart or reconnection steps relevant to normal operation, while avoiding unsupported stress tests or technical procedures outside the team's competence.

For example, a visitor tablet may launch the application successfully but fail to recover into the approved setup after a routine restart. That is a purchasing-relevant issue because a replacement or interruption could leave the reception process unusable.

## Check support and documentation

Inspect model labels, serial-number information and the documents needed for service. Ask the supplier to walk through the process for reporting a fault with that exact product. Review the written support terms instead of treating successful testing as evidence that future service will be straightforward.

Record any accessory or configuration change needed to make the sample work. Those additions belong in the final specification and budget; they should not remain an informal workaround known only to the person who tested the unit.

## Freeze the approved baseline

Write a concise acceptance record with the tested functions, configuration, limitations and remaining actions. Obtain the appropriate technical approval before releasing the main order. Do not generalise a passed test to different variants or later replacement models without assessing the changes.

At bulk receipt, compare delivered units with the approved baseline and perform proportionate checks. A successful sample reduces uncertainty about the evaluated combination. It does not eliminate the need to verify that the supplier actually delivered that combination consistently across the order.
