A limited assignment can test an event agency's planning and coordination before the buyer commits a major programme. The trial should answer a specific selection question and use the normal delivery team. A polished concept presentation alone does not establish the agency's ability to manage approvals, suppliers and final reconciliation.

## Choose an appropriate trial scope

Use a small internal event, a defined production workstream or a rehearsal assignment where that fits the business need. State which capability is being tested: programme discipline, creative approval, technical coordination or on-site decision-making. Do not assume one small task can establish every capability required for a large event.

Keep the scope, budget and approval route explicit. A pilot remains a real purchase with responsibilities for assets, information and suppliers. It should not proceed on informal terms merely because the buyer intends to evaluate the agency.

## Observe planning before production

Ask for the brief, decision calendar and readiness record the agency would normally use. Check whether unknown venue or supplier conditions are labelled and whether decisions have owners. Record how the agency handles an incomplete buyer input rather than quietly filling the gap with an assumption.

If the trial uses different staff from the proposed main programme, note the limitation. A successful result delivered by a senior pitch team may not show how the ordinary account will operate.

## Review a genuine change

When a legitimate programme or content revision arises, assess whether the agency explains its effect on production and cost before proceeding. Do not manufacture unnecessary disruption simply to make the test difficult. A structured scenario discussion can examine an exception that does not occur during the trial.

Consider a hypothetical small conference session moved to another room. Observe whether signage, technical instructions and the run sheet are updated together. The useful evidence is control of the whole change, not a quick reply saying the request has been handled.

## Close the trial against the agreed evidence

Review delivered scope, on-site issues, final files and the account reconciliation. Record unplanned buyer assistance so the result does not overstate the agency's independent coordination. Ask the receiving team whether it can use the final records without further explanation.

Decide whether the evidence supports the major programme, a correction or a further targeted check. Preserve the limits of the trial, especially where the larger event has different venue or technical complexity. The pilot should improve the award decision and the contract conditions, rather than become a ceremonial exercise that would be called successful regardless of what the planning and delivery records show.
