# Trialling a UAE building-material trader with a first order

A first-order trial should test whether a trader can supply the approved material with accurate records and a workable site-delivery process. It should not involve installing an uncertain product to see whether it performs. The project's qualified team should establish technical approval and any required testing separately from the commercial supplier trial.

## Choose a representative approved range

Select materials that reflect the planned purchasing pattern, including relevant pack units and delivery constraints. Use the current approved product references. If an alternative is proposed, complete the appropriate submittal review before including it in the order.

Avoid choosing only an easy counter-sale item when the future agreement depends on staged site delivery or batch documentation. The trial should test the operating model the project will actually use.

## Check the order confirmation

Review the exact product, quantity, source, stock allocation and delivery date. Ask the trader to identify assumptions and the process for a shortfall. The ability to state uncertainty clearly is useful evidence; a quick unconditional confirmation may conceal an unresolved sourcing step.

For example, a finish product may be available only in several batches. The supplier should disclose that before the project assumes the trial establishes consistent supply of the full quantity.

## Observe receiving and documents

Check arrival within the agreed window, packing labels, product identity and relevant records. Have the site apply its normal inspection and technical-release procedures. Record discrepancies objectively and keep affected stock identifiable.

Review how the supplier responds to an actual issue, or walk through the process if the order is correct. There is no need to manufacture a rejection or disrupt site work merely to test a phone number.

Include at least one realistic pack or unit conversion in the first-order review. This checks whether the supplier’s quotation, invoice and packing list describe the same quantity before an error is repeated across a larger programme.

## Make the approval specific

Assess accuracy, communication, delivery coordination and commercial reconciliation. Record what was tested and which capabilities remain unassessed. A passed first order for finishing materials does not establish suitability for every structural or specialist product.

Carry any corrections into the material schedule and future order instructions. A useful trial reduces uncertainty about the trader's service while preserving the project's technical controls. It should leave the buyer with a clear scope for the next order, not a broad approved-supplier label that obscures the evidence behind it.
