Air cargo acceptance requires an accurate description of the actual shipment and the relevant document process. Procurement should establish who prepares, checks and approves the information before cargo is presented for transport. A freight quotation or an airwaybill draft is not evidence that every product and package is ready to fly.

## Identify the cargo without assumptions

Record contents, package counts, dimensions and weights, with the source responsible for confirming them. Ask the forwarder to identify information needed for carrier acceptance and any specialist review. Do not use a vague description to avoid a question about the cargo's characteristics.

IATA's dangerous-goods guidance places classification responsibility with the shipper and describes requirements for that specialised transport area. Where relevant, use qualified dangerous-goods support and the current applicable rules. This article does not provide packing, labelling or classification instructions and should not be used to make those decisions by inference.

## Confirm the customs-document route

Identify the movement and the appointed professional responsible for customs coordination. Dubai Customs' guidance notes that document requirements vary by declaration type and customs port. Confirm the current route for the actual shipment rather than copy a universal checklist from another movement.

Keep customs clearance and air-carrier acceptance distinct. Evidence for one process should not be presented as proof that the other is complete.

## Reconcile the shipment information

Compare the commercial and packing records with the airwaybill instructions and booking data relevant to the movement. Identify mismatched parties, descriptions or quantities and return them to the responsible source for correction.

For a hypothetical shipment whose final package count differs from the initial booking, obtain a revised instruction before the discrepancy propagates. The forwarder should not silently choose the most convenient figure to preserve a deadline.

## Control approval and status

Name who may approve transport-document changes and who receives acceptance queries. Record submission, acceptance and actual movement separately. A document sent to a partner remains pending until the relevant status is confirmed.

Retain source, date, reviewer and unresolved action in the shipment record. Keep specialist questions with appropriately qualified personnel and relevant authorities. The completed procurement check should explain which evidence supported this cargo and which decisions remain open, without claiming universal compliance or guaranteed clearance.

Recheck material changes in contents, packing, route or parties. A successful previous shipment does not automatically establish that a new consignment with different characteristics can follow the same acceptance process unchanged.
