Avoid asking the supplier for a generic UAE approval and treating the answer as proof that every item in its catalogue is suitable for your transaction. ## Identify the product and regulatory question Record the manufacturer, product identifier, specification, origin, intended use and delivery location. Ask the supplier to identify any product-specific conformity or other approval requirement it considers applicable, together with the relevant authority and supporting reference. Have a competent reviewer confirm the applicability before using it as an acceptance condition. MoIAT provides a conformity-certification service for products subject to technical regulations. Use the current official service information to investigate the actual product rather than extrapolating a universal certificate requirement. ## Separate different forms of evidence Create distinct fields for business identity, product conformity where applicable, technical quality, traceability and safe handling information. Record what each document establishes and what it does not. A supplier's management-system certificate, for example, should not be treated as a batch-specific test result. Check that product identifiers, manufacturer details and any scope limitations match the offered goods. Where a certificate is supplied, use an appropriate verification route and inspect its scope and validity rather than relying only on a logo in the quotation. ## Connect compliance review to receiving Agree which information must arrive before dispatch and which must accompany the shipment. For chemicals, have the responsible technical and safety teams review the actual product information and receiving arrangements. For metals, ensure required material records can be linked to the delivered product through the agreed identifiers. For example, an apparently relevant document may refer to a different grade or manufacturer. Keep the affected line unresolved until the supplier provides an explanation and the technical owner accepts it. Commercial urgency should not silently change the approved specification. ## Retain a product-specific decision Record the reviewer, evidence source, date and remaining conditions. Revisit the assessment when the product, manufacturer, application or relevant requirement changes.
