Corporate housing teams need to distinguish a commercial offer from evidence that the proposed accommodation and contracting party are appropriate for the transaction. A booking checklist should establish what is being supplied, who is authorised to supply it and which local process applies. It should not imply that one registration or document resolves every property risk.

## Identify the arrangement before choosing the checklist

Record whether the offer is a hotel booking, serviced accommodation, residential lease or another arrangement. Identify the emirate, property address, contracting entity and proposed payee. These facts determine which questions should be referred to the relevant authority or a qualified adviser.

Ask the provider to explain its role. Is it the owner, an appointed manager, a broker or a booking intermediary? Request evidence appropriate to that role and reconcile the names across the offer, agreement and invoice. An unexplained difference is a question to resolve before payment, not a detail to tidy up after arrival.

## Verify information through the relevant authority

For Dubai transactions involving a broker, Dubai Land Department provides a licensed-broker lookup. Its service directory also identifies property and project status enquiry services. Use the service relevant to the proposed transaction and retain the date and result of the check. These are Dubai resources; do not represent them as nationwide approvals or as guarantees of accommodation quality.

Where another emirate or a different accommodation regime applies, obtain the applicable verification route before completing the checklist. If the team cannot establish the correct route, record the uncertainty and obtain qualified local advice rather than filling the evidence field with an unrelated certificate.

## Review the operational evidence separately

A provider's business documentation does not establish whether a particular unit meets the agreed specification. Obtain the accommodation description, occupancy conditions, inventory, access process and maintenance arrangements separately. Identify restrictions that matter to the employee, such as visitor arrangements or access outside reception hours, and confirm them in writing.

A useful checklist has five columns: requirement, evidence, source, reviewer and unresolved action. Avoid a single tick labelled “compliant.” Different evidence answers different questions, and the review should make those limits visible.

## Resolve discrepancies before releasing the booking

Consider an intermediary whose invoice names a different entity from the proposed agreement. Ask for the contractual explanation and verify the payment instructions through the organisation's established controls. Do not infer wrongdoing, but do not let an urgent arrival date replace the missing explanation.

Record the final decision, its scope and any conditions. Recheck time-sensitive information for subsequent bookings. A prior review can support the supplier relationship; it cannot confirm that a new property, new arrangement or changed payee is appropriate.
