A proposal deserves closer scrutiny when it leaves the buyer unable to understand the agency's role, the work included or the basis of important claims. ## An undefined service scope

Ask what the agency will actually do and what remains the buyer's responsibility. Terms such as complete support can cover very different services. Obtain a clear description of search, viewing, negotiation and coordination work rather than assuming they are all included.

If the agency promises specialist conclusions, establish the qualification and scope behind them. A property intermediary's general confidence should not replace a competent assessment where the buyer needs one.

## Unclear commercial obligations

Review the fee basis, payment trigger and material appointment conditions. Ask for explanations of ambiguous provisions and obtain appropriate contractual advice. Do not treat a verbal statement about usual practice as a substitute for understanding the written terms.

Where another intermediary is involved, ask how roles and charges are allocated. A multi-party arrangement may be workable, but the buyer should not discover its structure only when an invoice or dispute appears.

## Listings that repeatedly evade the brief

A candidate agency may need initial feedback, especially if the requirement is unusual. The concern is repeated submission of unsuitable properties without acknowledging the mandatory constraint. Ask how screening is performed and how corrections are incorporated.

For example, an agency that continues proposing properties outside a firm location requirement may be prioritising available inventory over the buyer's instruction. Clarify whether the requirement can be met and whether the agency has a credible plan before committing more time.

## Pressure without supporting information

A time-sensitive property can require a prompt decision, but urgency does not resolve missing facts. Ask what is confirmed, what remains uncertain and what the proposed next step commits the buyer to. Escalate the decision internally when timing and evidence requirements conflict.

Keep a factual clarification record and allow the agency to respond. If material gaps remain, explain the unmet requirement rather than making unsupported allegations. A clear record supports a fair appointment decision and helps colleagues understand why an apparently attractive proposal was not ready for acceptance.
