An architectural request for quotation should define the service being purchased without pretending that the design already exists. Give practices a common brief, information baseline and stage structure so their proposals can be compared. Leave room for professional recommendations while requiring bidders to expose exclusions and assumptions.

## Describe the project and available information

State the site, intended building use, approximate accommodation requirement and business objectives. Identify the project stage and any decisions already approved. Provide a register of available surveys, drawings and other inputs with their status, rather than distributing files without explaining their reliability.

Explain the budget context and target programme as planning inputs, not guaranteed outcomes. Ask bidders to identify missing information and significant dependencies. If the scope remains uncertain, request a defined initial assessment stage with a clear decision point before committing to later services.

## Define deliverables and interfaces

List the architectural stages to be priced and the expected output at each stage. Specify the intended use of drawings, models and reports. Ask bidders to propose an appropriate level of development and review process, avoiding an undefined demand for every possible document.

Identify other consultants already appointed and those still required. State who is expected to coordinate them and ask for a responsibility matrix. Clarify authority-submission support, tender assistance and construction-stage services separately so a design-only fee is not compared with a broader appointment.

## Make the commercial response usable

Request fees by stage, payment milestones, reimbursable expenses and rates or methods for authorised additional services. Ask how revisions, client changes and extended programme periods are treated. Require exclusions to be stated explicitly rather than hidden in a reference to standard terms supplied later.

Ask for the named team, availability and relevant project examples showing the bidder's actual role. Request evidence of professional eligibility appropriate to the site jurisdiction and appointment. Have suitable advisers review proposed contractual terms before award.

## Define the evaluation process

Tell bidders how design capability, delivery method, scope completeness and cost will be assessed. Offer a common question process and circulate material clarifications consistently. Use interviews to explore reasoning and team fit rather than demanding a complete unpaid concept. Before appointment, reconcile the selected proposal with the brief, deliverable schedule and responsibility matrix so the final agreement describes one coherent service that both client and architect can administer.
