A material supply RFQ should make product identity, quantity units and delivery obligations clear enough for traders to price the same requirement. Broad material names create misleading comparisons and later disputes. Build the enquiry from the current approved schedule and have the project team identify technical evidence and alternatives before sourcing.

## State the product and quantity basis

Include manufacturer references or the relevant performance specification, dimensions, grade, finish and intended application. Link the line to the approved submittal where available. Identify whether the quantity is measured by piece, pack, pallet, area, length or another agreed unit.

Ask suppliers to state pack contents and conversions clearly. A price per box cannot be compared fairly when boxes contain different quantities or cover different areas.

## Separate approved products from alternatives

Require deviations to be listed and priced separately with the evidence the technical reviewer needs. Do not allow a supplier to substitute a different product inside an apparently compliant total. The qualified project team should decide suitability before the commercial award.

For example, a trader may offer a different board or adhesive because it is readily available. The RFQ should expose that change rather than let purchasing assume a similar product family means the same approved system.

## Describe the delivery sequence

Provide site locations, access windows, unloading responsibility and the planned stages. Ask which quantities are held, allocated or subject to manufacture. State any batch or finish continuity requirement established by the project team.

Request clear handling of partial deliveries and the balance outstanding. A single total delivery date may not support a project that needs different materials released by work area.

Include the contact who can answer unit and pack questions before dispatch. If a supplier cannot fulfil the exact quantity, require it to identify the proposed rounding and surplus rather than silently increase the order to its preferred pack size.

## Define records and discrepancy handling

Specify the product documents, batch information and packing lists required at receipt. Explain the site's inspection and technical-release process. Ask the supplier for its response to wrong items, damaged packaging and rejected material, including collection and commercial adjustment.

Before award, reconcile units, sources, inclusions and stock assumptions. Carry the accepted schedule into the order. A useful RFQ gives the receiving team an objective basis to identify what arrived and gives the technical team the evidence needed to assess it, rather than leaving both to interpret an invoice whose descriptions are too broad to verify.
