## Define each line item

For several destinations or work packages, include allocation identifiers. Ask whether the supplier will label deliveries accordingly and whether that service affects the price. Clear allocation can reduce receiving effort and help prevent components intended for different assemblies from being mixed.

## Request relevant evidence and availability

Ask for the product information required by the technical review and applicable process. Keep specialist requirements with competent personnel rather than attaching a generic certificate demand to every item. The evidence should answer a specific question about the proposed product and use.

Require a clear stock and delivery statement. Distinguish available quantities, future supply and any allocation condition. If the programme needs a complete set before work begins, state that dependency so a partial delivery is not mistaken for a usable result.

## Make the commercial response complete

Request price, delivery, quote validity and return or correction terms. Ask how shortages and incorrect supply are handled. Include the acceptance route and the person who may approve changes. A well-defined RFQ gives procurement, technical reviewers and receiving staff the same reference, making both award and later discrepancy resolution more reliable.
