A corporate dining RFQ should describe the occasion clearly enough for restaurants to propose comparable menus, spaces and commercial terms. Asking only for a price per person can produce offers that differ in exclusivity, included beverages and service arrangements. Separate the essential guest experience from options the venue can price independently.

## Describe the occasion and space

State the date, group size, expected duration and purpose of the meal. Explain whether the booking requires a private room, a dedicated section or ordinary tables. Identify relevant access requirements and the level of privacy or conversation quality needed.

Ask the restaurant to name the exact space offered and show a suitable layout. A photograph of the whole venue is not sufficient evidence that the group will receive the particular arrangement it expects.

## Specify the menu response

Request the proposed courses or ordering format, included beverages and the process for handling known dietary requirements. Have the venue's responsible team identify limitations. Ask for alternatives to be shown separately rather than mixed into one broad promise of flexibility.

State whether menu substitutions require advance approval and when final guest information is needed. The organiser should be able to explain to guests what is included without relying on an informal conversation with a salesperson.

## Make commercial terms comparable

Ask for minimum spend, deposit, cancellation and change terms, room charges, service-related charges and any other applicable items. Have the appropriate commercial reviewer assess the terms of the actual booking. Do not assume a quoted per-person total includes every item that may appear on the bill.

For example, one venue may include exclusive use of a room while another quotes the meal only and adds a space charge. Those proposals need reconciliation before the lower menu price can be interpreted as better value.

## Define booking and on-site responsibilities

Request the confirmation process, named event contact and the person coordinating service on the day. Identify the buyer's authorised approver for additional orders or changes. Explain the invoice details and any requirement for a separate host-facing account check.

Before award, resolve differences in space, inclusions and guest requirements. Carry the accepted response into the booking confirmation. A good RFQ leaves the host and venue team working from the same practical agreement, rather than a price comparison that becomes irrelevant once guests begin ordering.
