# Writing an RFQ for UAE printing and typing work

A document-production RFQ should state the output and the process for approving it. Printing and typing need different specification fields, so avoid one generic request for a price per page. Suppliers can quote more reliably when they know the source condition, required checking and exact form of the final deliverable.

## Specify printing as a finished item

Record dimensions, quantity, material, sides, colour requirements, finishing and packing. Identify the artwork version and whether preparation or design work is needed. Ask suppliers to explain any proposed alternative material or production method and its effect on the required result.

Include proof stages and who may approve them. A production deadline should identify the point at which an approved file must be available. If content remains provisional, require that dependency to appear in the quotation.

## Specify typing as controlled information work

Describe the source format, expected quality, fields and output structure. State how missing or unclear entries must be flagged and who supplies the answer. Keep translation, certification or legal interpretation outside ordinary typing unless separately defined.

Ask for the checking method and a pricing approach for source material that differs materially from the sample. An apparently cheap page rate may be based on clean uniform pages when the real backlog contains incomplete scans and several layouts.

## Price revisions and delivery

Distinguish correction of supplier errors from buyer-requested changes after approval. Request the assessment and approval process for rework. Include final editable files, packing, collection or delivery where required, rather than assuming they accompany the basic production price.

Use a hypothetical late text correction for print or a corrected source field for typing. Ask how the supplier prevents the old version from remaining active and how any additional charge is confirmed before work proceeds.

## Define acceptance and traceability

For print, require comparison with the approved proof and relevant finishing or allocation checks. For typing, require reconciliation of completed records and unresolved exceptions against the source register. State the evidence needed for delivery acknowledgement and final invoicing.

Ask about subcontracted work and information handling proportionate to the material. Use sanitised samples for initial comparisons where possible.

Check response completeness before comparing totals and attach accepted clarifications to the final order. The RFQ should leave the provider with a clear active instruction and leave the buyer able to judge the output without inventing criteria after delivery. It should also show where the source is incomplete so accuracy is protected rather than sacrificed to an unrealistic promise of immediate production.
