## Provide a lane and shipment schedule

List collection and delivery locations, expected frequency, cargo description, dimensions, weight and packaging. Distinguish forecasts from guaranteed volumes. Include representative shipment profiles if orders vary, so bidders can explain the vehicle and consolidation model they propose.

State collection readiness and receiving windows. Identify access restrictions and the buyer contacts responsible for resolving them. Have competent operations staff review any specialised vehicle or handling requirement before it enters the RFQ as a mandatory condition.

## Define the scope of transport responsibility

Specify loading, unloading, waiting, returns and any additional handling. Ask carriers to identify what is included and what requires a separate service. Require disclosure of subcontracting and the entity responsible for dispatch and delivery performance. Ask how the buyer will be notified if the assigned operating carrier changes after booking confirmation.

For example, a delivery to a site without a loading dock may need a different arrangement from a warehouse-to-warehouse movement. If the RFQ omits that fact, the quoted price cannot be assumed to cover a workable delivery solution.

## Standardise rates and exceptions

Request rates by the relevant lane and shipment basis, together with minimum charges, waiting rules, redelivery, cancellation and other applicable items. Ask how changes in cargo or route affect the price. Avoid open wording that allows unspecified operational costs to be added without evidence or approval.

For cross-border work, identify customs and document responsibilities separately and request assumptions about border-related delays. Do not require carriers to guarantee release by authorities they do not control. Instead, evaluate their preparation, communication and coordination process.

## Specify the evidence needed to manage the service

Ask for booking acknowledgement, event updates, proof of delivery and discrepancy records. Include a sample exception scenario for bidders to explain. Request comparable references and a mobilisation plan proportionate to the proposed volume. The final RFQ should make it possible to compare cost, accountability and practical delivery readiness, rather than treating a single rate per truck as a complete transport solution.
