VIK · YOUR PROCUREMENT AGENT

From inviting a vendor
to monitoring the outcome.

Give Vik the requirement and the company policy to work within. These are the actions he carries out across the supplier lifecycle.

01 / INVITE

Bring vendors into your process

Actions and approval points

Vik invites vendors to onboard and provide the information your team needs. Buyers decide which businesses to engage and the scope of the invitation.

02 / CHECK THE BUSINESS

Perform KYB and AML checks

Actions and approval points

Know Your Business (KYB) checks establish who the business is. Anti-money laundering (AML) checks assess financial-crime risk. Vik performs the configured checks and brings findings into the supplier review.

Possible matches and exceptions need context and the required review before a decision.

03 / ASSESS & RATE

Apply your company’s policy

Actions and approval points

Vik performs the relevant supplier assessments, reviews supporting evidence and assigns a vendor risk rating against your company’s configured policy. Reviewers handle exceptions and the required supplier approval.

04 / CREATE SOURCING EVENTS

Create bids and RFPs

Actions and approval points

Vik creates bid events and requests for proposal (RFPs) from the procurement requirement. Your team reviews the scope, supplier invitations, evaluation criteria and required approvals before release.

05 / CREATE LIVE AUCTIONS

Set up supplier competition

Actions and approval points

Vik creates live auctions for suitable sourcing needs. Authorised buyers review the participating suppliers, event rules and timing. Qualification and award approvals remain part of the process.

Vik checking delivery plans and milestones
06 / MONITOR

Follow milestones and payments

Actions and approval points

Vik monitors delivery milestones and recorded payment status so your team can see progress and what needs attention. Operations confirms delivery; finance retains the controls for payments and bank-detail changes.

Vik executes the workflow. Your team owns the decisions. Available actions follow company policy, configured checks, system connections and role permissions. Monitoring a payment does not authorise or execute it.

Relevant ≠ approved. Category matching helps you discover potential suppliers. Your team confirms suitability and completes qualification before approval. This example illustrates the process; it does not show live results.

Categories, invitations and access: practical details

Your category administrator maintains active purchasing categories and supplier-coverage targets. Search, category and country filters narrow the results. If no businesses match, review your categories or broaden the directory search.

Invite an individual supplier, or review the scope before confirming a bulk invitation. Bulk invitations skip businesses without a usable email. Category management and invitations depend on your role’s permissions.

Buyer sign-in and vendor-network discovery access are required. Category management and invitations depend on your role’s permissions.

BIDS & LIVE AUCTIONS

Make competing offers
easier to evaluate.

Vik creates the event. Your sourcing team sets the requirement, confirms who can participate and controls the evaluation and award.

BEFORE THE EVENT

Choose the right request

Use a request for information (RFI) to understand the market, a request for quotation (RFQ) for a defined purchase, or a request for proposal (RFP) when the approach matters as well as price.

DURING THE EVENT

Keep the comparison fair

Set scope, quantities, deadlines and evaluation criteria. Handle supplier questions and amendments consistently. Use sealed evaluation where configured and restrict responses to authorised reviewers.

AT THE DECISION

Record the award

Evaluate the offer against the agreed criteria, complete the required approval and connect the award to the contract and delivery commitments.

When should you use a live reverse auction?

Use one when qualified suppliers can compete on a clear, comparable requirement. Review participants, rules and timing before release. The lowest price alone does not replace qualification or award approval.

AFTER THE AWARD

Follow the commitment
through to the outcome.

Vik monitors milestones and payment status. Operations, procurement and finance can see the work that needs their attention.

Delivery and acceptance

Connect contracts to milestones and delivery evidence. Record what has arrived, what is outstanding and who must confirm acceptance.

Commercial visibility

Follow purchase commitments, invoices and recorded payment status alongside connected systems. Confirm the source and integration for each status during setup.

Supplier improvement

Capture feedback and performance evidence. Use it to decide on renewals, corrective actions and the next sourcing shortlist.

Where do catalogues, inventory and integrations fit?

Categories and catalogues describe what a supplier offers. Available inventory information helps frame quantity and delivery questions; confirm availability during sourcing. Connected commercial systems supply the relevant invoice and payment context.

SECURITY & DATA CONTROL

Apply the right controls
to the supplier and service.

A facilities contractor and a provider accessing sensitive systems need different reviews. Separate applicable law, sector requirements, company policy and recommended practice when setting assessments.

Business checks, evidence and risk

How are KYB, AML and screening findings reviewed?

Check legal identity, registration, activities and beneficial ownership: the people who ultimately own or control the business. Clarify missing or conflicting information.

Sanctions screening and politically exposed person (PEP) checks answer different questions. A PEP connection is not proof of wrongdoing. A possible name match needs identifiers and context; follow the applicable escalation process for confirmed findings.

For adverse media, review the source, date, relevance and outcome. Distinguish allegations from established findings. Record the reason for the conclusion. Central Bank guidance for licensed financial institutions is not a blanket requirement for every supplier.

What does reviewing evidence involve?

Vik extracts and compares document details against the supplier record and assessment requirements. Check licence identity and expiry, tax registration details, contract parties and obligations, and bank-beneficiary evidence. A readable document is not automatically authentic or sufficient.

Supplier risk ratings inform the review. Your authorised team resolves exceptions and makes the required approval decision; unavailable checks must not be recorded as passed.

Information access and accountability

Who can see, share or change supplier information?

Protected actions use organisation context and role permissions. Confirm who can view evidence, change records and approve outcomes. Collect only information needed for the review and explain its purpose.

Review what is shared with authorised specialist-check providers, and keep sensitive evidence out of public analytics. For suppliers with system or data access, assess access controls, incident response, continuity and relevant assurance evidence.

How should retention, hosting and data transfers be assessed?

Agree retention periods, legal or contractual duties and the process for access or deletion requests. Confirm actual hosting, subprocessors and transfer arrangements for your deployment.

The applicable data-protection framework may be federal, DIFC, ADGM or a sector regime. A UAE customer address alone does not establish where every service processes data.

What happens if a supplier changes bank details?

Compare the request with the approved record and independently confirm it through your established process and authorised contacts. Finance retains the approval controls for bank-detail changes and payment execution.
