BID MANAGEMENT

Make the requirement clear
before you compare the price.

  1. Choose the right request

A request for information (RFI) helps you understand the market. A request for quotation (RFQ) asks for pricing against a defined requirement. A request for proposal (RFP) asks suppliers to explain an approach as well as the commercial offer.

  2. Invite suitable vendors

Set scope, quantities, delivery expectations, evidence and deadlines. Make evaluation criteria clear and invite the suppliers appropriate to the event.

  3. Handle questions consistently

Use the clarification and amendment workflow. Make sure suppliers receive the relevant updates and acknowledge them where required.

  4. Protect and evaluate responses

Use sealed evaluation where configured. Give authorised reviewers the criteria, responses and supporting evidence they need to make a fair comparison.

  5. Record the award and next steps

Follow the required approvals, record the sourcing outcome and connect the award to the engagement, contract and delivery process.

Start by finding candidate suppliers, then qualify them for the requirement. Vendors looking for externally published opportunities can browse public tenders; these notices are distinct from buyer-managed sourcing events on Vendoreye.

AUCTIONS, WHERE THEY FIT

Reverse auctions.
A deliberate choice.

Use a reverse auction when suppliers can compete on a sufficiently clear, comparable requirement. Explain the event rules and timing before it starts. The lowest number alone does not replace qualification or award approval. Start with the right sourcing event and keep evaluation criteria and award reasoning clear.
