Build a representative meeting order
State expected quantities, sizes, customisations and the receiving time and location. Mark uncertain attendance and identify when the final count will be confirmed. Ask the shop how late changes affect preparation and the accepted charge.
Keep essential product requirements explicit. For ingredient or allergen questions, obtain specific information from the supplier rather than allowing the meeting organiser to infer suitability. Identify who can answer a question beyond the order taker's knowledge.
Inspect the packing and labelling method
Ask candidates how each customised item is matched to the confirmed list. Request a representative trial or demonstration of the pack, not only individual drink samples. The organiser needs to identify products without guessing or opening several cups.
Consider a hypothetical meeting order containing dairy alternatives and other customisations. If cups arrive unmarked, the order has not met the identification requirement even when the count is correct. Require a correction route and avoid distributing uncertain items on assumption.
Test the actual delivery boundary

Pilot a normal meeting order and reconcile the invoice with the accepted list. Record the outlet and window tested; a much larger event or a different branch may need another check.
The selected shop should leave the organiser able to confirm quantities, identify the prepared products and obtain a prompt answer when something is unclear. Preserve those conditions in the ordering template. The best-fit award rests on demonstrated meeting-order execution, not simply the shop's retail reputation or a discount whose service assumptions remain undefined.
