Divide the snag list by dependency
Inspect the property before requesting a quotation. Separate essential functional defects from cosmetic preferences, and identify repairs that depend on a specialist, a replacement part or approval from the owner. Include photographs and location labels so suppliers can price the same work.
Sequence jobs that affect one another. A wall repair may need to be completed before painting, while an appliance replacement may require dimensions to be confirmed before adjacent joinery is adjusted. Ask the contractor to identify these dependencies rather than submit a single completion date without a work sequence.
Assess the ability to close many small items
Request a sample snag-tracking record. Each line should show the location, fault, approved remedy, responsibility, status and evidence of completion. A marked-up photograph or clear before-and-after record is often more useful than a statement that the apartment is ready.
Clarify how the contractor handles newly discovered faults. The property manager should receive a priced variation and its effect on the handover date. The team should not spend the available budget on cosmetic extras while an essential door, tap or fitting remains unusable.
Test materials and access planning
Ask which parts can be obtained before the vacant period starts and which need a site measurement. Confirm who holds keys, authorises attendance and checks the property after each workday. Where several trades attend, name the person who coordinates access and prevents completed work from being damaged by later activity.
For example, a contractor may complete all listed repairs but leave replacement handles in visibly different finishes. If finish consistency matters to the agreed handover condition, the proposed substitute should have been approved before installation.
Award against a practical handover plan
Compare the proposed sequence, parts assumptions, inspection arrangements and unresolved items alongside price. Set a review point early enough to recover from missing materials or incomplete work. A final inspection on the tenant's arrival day leaves little room to correct avoidable omissions.
Retain the signed snag list, accepted substitutions and outstanding actions. The appropriate supplier is one that can demonstrate a controlled route from inspection to occupancy, including how it handles an item that cannot be completed within the available period.
