Identify the purchasing question, such as locating fragmented spend within an approved category structure. Record which source systems and periods are in scope. Use a controlled sample that includes ordinary inconsistencies, rather than a perfectly cleaned demonstration file that hides the work required for real adoption.
Define who owns the category mapping and which records need clarification. A supplier should not silently decide that similarly named businesses are the same entity or that every ambiguous transaction belongs in one convenient category. Those assumptions can materially change the conclusion drawn from the dashboard.
Ask the supplier to trace a reported total back to its underlying records. Check how adjustments, exclusions and mapping changes are documented. A user should be able to explain why a number changed between versions without depending entirely on the vendor's analyst.
Evaluate how the product handles missing or uncertain information. Useful tools make uncertainty visible and allow review. A complete-looking classification is not necessarily better than an honest unresolved queue when the source evidence cannot support a reliable assignment.
Ask an actual procurement user to work through the intended decision using the output. Determine whether the analysis provides evidence, a hypothesis for investigation or a recommendation. Do not treat a software-generated saving estimate as a realised commercial result without the appropriate subsequent evidence.
Record the effort needed to validate findings and maintain the data. A tool that produces attractive reports but requires extensive manual reconciliation every month may still be useful, but that operating cost belongs in the comparison and ownership plan.
Review implementation, update frequency, support and the ability to export usable records. Clarify who owns the mapping rules and how the buyer can continue or transition if the service ends. Select the bidder that makes procurement evidence understandable and maintainable.
