Define what the programme must achieve

State the purpose of the incentive, the expected participant profile and the balance between shared activities and personal time. Identify moments that matter most, such as a group dinner or a hosted visit. Distinguish those priorities from decorative additions that could be changed without undermining the programme.

Ask the supplier to explain how the itinerary serves that brief. A series of expensive activities can still feel fragmented if guests spend excessive time assembling, transferring or waiting for the next component.

Record any differences in capacity or exclusivity that affect the guest experience. The best-fit partner is the one whose operating model supports the intended programme and whose assumptions remain understandable when the itinerary needs to change, rather than the one with the longest list of impressive venues.
