Changing a UAE restaurant group booking without surprises

State the change against the current booking

Identify the date, booking reference and exact revision requested. Distinguish a confirmed change from a possibility still being considered. Keep the current menu, space and guest count available so both parties can assess the difference.

Ask who at the venue can confirm the revision. A conversation with a member of the serving team may not update the commercial or reservations record unless the agreed process is followed.

Request the full impact

Ask about availability, layout, menu, service pacing and additional or reduced charges. Review the applicable terms through the responsible buyer. A smaller group does not necessarily reduce a minimum commitment, while a larger group may require a different space or service format.

For example, adding several guests may change the table arrangement enough to affect conversation or access. The organiser should assess that experience difference rather than consider only the extra menu charges.

Recheck guest requirements and authority

If the menu changes, confirm that previously agreed guest requirements remain addressed. Provide relevant updates through an appropriate channel and limit personal information to those who need it. Do not assume that a replacement dish automatically preserves the original arrangement.

Have the authorised person accept the revised scope and commercial effect. Record whether the change also alters the host's authority for extras or the planned timing of the occasion.

Issue one updated confirmation

Consolidate the accepted details into a current brief for the host and venue lead. Mark the version or date and make clear which earlier information it replaces. The service team should not have to reconstruct the event from several partly conflicting messages.

At the final account check, reconcile charges to the approved revision. Retain the change history where it explains a material difference. A controlled process allows the organiser to adapt the occasion without creating uncertainty about what the restaurant reserved, what guests were promised or what the business agreed to pay.
