Ask the agency to identify the property clearly and confirm when availability was last checked. Establish whether the agency is communicating directly with the relevant party or through another intermediary. Record the proposed viewing arrangements and who can provide access.

If photographs or plans are supplied, ask whether they describe the actual property or a representative example. A useful preliminary description distinguishes current information from marketing material that still needs verification.

Screen the mandatory requirements

Compare the listing with the search brief. Check the stated location, space, configuration and access against the essential requirements. Where a requirement needs a technical or legal assessment, identify the question and the appropriate reviewer rather than treating the listing as evidence that it is satisfied.

Request clarification of obvious gaps before scheduling multiple people to attend. Some questions can only be resolved through inspection, but others can be answered by obtaining an accurate plan or a clear explanation from the relevant party.

Prepare a focused viewing agenda

List what the visit should establish and who will assess each issue. Include questions arising from inconsistent descriptions or unexplained differences between the listing and the agency's response. Keep the agenda practical; a general walk-through can miss the constraint that determines suitability.

For example, a commercial listing may appear to offer enough floor area while leaving circulation or access unclear. The viewing should specifically examine those points, with the appropriate specialist involved where needed. It should not become a tour focused only on presentation.

Update the search record after the visit

Record confirmed observations, unresolved questions and any reason the property no longer meets the brief. Ask the agency to obtain missing information from the appropriate source. Avoid treating a positive impression as approval to proceed with unresolved mandatory requirements.

Share useful rejection reasons with the agency so future screening improves. A disciplined pre-viewing check reduces wasted visits and creates a better evidence trail for the options that remain. It also helps distinguish a problem with the property from a problem with the agency's screening process.
