Define the receiving requirement
Provide the actual destination address, receiving contact and relevant access or timing conditions. Identify whether the buyer appoints another customs or delivery representative. Ask the forwarder to state which handoffs it coordinates and which remain outside its offer.
Keep any product-specific receiving requirement with the appropriate specialist. A general delivery service should not be assumed suitable for every cargo type simply because the destination is within an advertised coverage area.
Identify destination partners
Ask which activities the forwarder manages directly and which rely on local partners. Record who obtains answers when a partner cannot complete its task. A contact list without an accountable coordinator can leave the buyer resolving the chain itself.
Confirm the appropriate current customs or activity route through the appointed professional or authority where needed. Do not assume a previous airport movement establishes the same process for another route or cargo.
Test a difficult but realistic handoff
Use a hypothetical receiver available only during a limited agreed window. Ask how the forwarder confirms readiness and what happens if arrival or release timing changes. The answer should identify decisions and commercial consequences rather than promise that delivery is always possible immediately after landing.
For specialist cargo, ask how an alternative destination arrangement receives the required product or technical approval. Procurement should not accept an unreviewed workaround solely to preserve the original delivery estimate.
Allocate a defined scope
Compare destination charges and service responsibilities on the same basis. An airport-only quotation can be suitable when the buyer deliberately manages the rest, but should not be described as equivalent to a complete premises delivery.
Use a representative first movement and review the actual receiving evidence. Keep performance by destination and service type rather than relying on a general national score.
Update the coverage record when partners, receiving locations or cargo needs change. The practical outcome should tell the buying team where the forwarder can coordinate reliably, what must be confirmed before arrival and when another provider or separately managed handoff is required. Geographic reach is useful only when it connects to an accountable, appropriate destination service for the actual shipment.
