List the required collection and return patterns

Provide the branches or delivery addresses, typical booking times and rental durations. Identify any different-location return or other special arrangement the company expects to use. Ask the supplier to confirm what it offers under the proposed agreement rather than assume a network presence makes every combination available.

Keep essential vehicle features visible by location. A class advertised centrally may have different availability at a smaller branch, and a suitable alternative needs an agreed approval process.

Identify direct and partner operations

Ask which locations use the supplier's own team and which rely on partners. Record the contracting and support responsibility if a partner provides the car. The employee should know which accepted terms and contacts apply before arriving at the collection point.

Compare the confirmation, condition and billing process at each relevant location. A central account number is helpful only if the branch can recognise the agreed authority and handle changes consistently.

Test a less convenient booking

Use a hypothetical employee collecting late or returning at another agreed location. Ask who confirms the arrangement, which notice is required and how any additional charge is calculated. If the supplier cannot support the requested pattern, record the limitation rather than relying on an informal promise to sort it out later.

For support during a project, identify where a replacement can be supplied and who makes the decision. The provider should describe its actual capability and dependencies rather than suggest identical response at every location without evidence.

Use evidence to allocate the programme

Run representative bookings at the locations most important to the business. Review suitable fulfilment, return records and final invoices separately by branch. If performance varies, consider a defined allocation or backup rather than forcing one supplier to cover a requirement it has not demonstrated.

Keep the location schedule current when branches, partners or company travel patterns change. Reconfirm unusual arrangements at booking level even where the overall account remains approved. The useful result is a service map the coordinator can act on: where the supplier works reliably, which conditions need advance preparation and when another agreed provider or collection arrangement is the better fit for the trip.
