Map the actual destinations
List delivery locations, quantities, receiving hours and site access requirements. Identify whether devices are delivered to a central warehouse or directly to users. Ask how shipment references and serial-number information will remain linked to each destination.
Do not assume that a nationwide courier service includes installation, unpacking or technical checks. State those responsibilities explicitly where they are part of the purchase.
Test the remote-location fault process
Ask what happens when a unit at a location away from the supplier's main office needs assessment. Clarify collection, packaging, transport responsibility and the communication route. Review the written warranty and any additional seller service for the actual product and location.
For example, a device may be easy to buy for a distant branch but inconvenient to return if the business must arrange removal and shipment itself. That does not necessarily make the supplier unsuitable, but it affects the operating plan and total cost.
Examine phased-order consistency
Confirm whether the supplier can allocate the same approved model across locations and delivery stages. Ask how shortages and substitutions are communicated to the central buyer. Local recipients should not be asked to approve a different model simply because the delivery is already at the door.
Coordinate with the technical team where devices require configuration before dispatch. Direct-to-site delivery may save a handling step while creating separate setup work at every branch. Evaluate that trade-off against the organisation's actual capability.
Document coverage conditions clearly
Record approved destinations, service arrangements and any location-specific charges or limitations. Give site teams concise receiving and fault-reporting instructions. A central agreement is useful only if the people receiving devices can follow it without reconstructing the supplier relationship.
Review coverage when new locations or product families are added. A successful shipment does not prove that the support route works, and a local service commitment should not be described as nationwide without evidence. The purchasing decision should reflect both journeys: delivery into the business and recovery when equipment needs attention.
