Buying headcount instead of a service plan

A request for a number of cleaners does not explain the tasks, frequencies or supervision needed. Start with the area schedule and operational constraints, then ask suppliers how they will resource it. A staffing proposal can be evaluated meaningfully only when it is connected to the work the customer expects to receive.

Clarify absence cover and supervision. A service can appear adequately staffed while lacking someone who checks quality or arranges relief. Ask how new staff learn the site and how the contractor maintains continuity when the regular team changes.

Leaving materials and periodic work undefined

State who provides equipment, cleaning materials, storage and replenishable supplies. Identify periodic tasks separately from each-visit work. If these responsibilities remain unclear, the customer may pay additional charges or discover that essential tasks were never included in the monthly total.

Keep specialist activities outside the ordinary scope until properly assessed. A broad request to clean everything should not become an expectation that staff undertake high-access, hazardous or technically sensitive work without the appropriate review. A clear boundary protects the purchasing decision and helps the contractor escalate unfamiliar tasks.

Ignoring the occupied-site reality

Survey access windows and restricted rooms before award. A schedule based on empty premises may fail in an operating office or branch. Agree how blocked tasks are recorded and rescheduled, and identify who can release an area or approve a different time.

Avoid letting every occupant issue extra instructions independently. Establish a route through the site contact or supervisor so priorities remain coherent and commercial changes receive approval. Helpful informal requests can otherwise accumulate into an unmanageable and disputed scope.

Accepting attendance as quality evidence

Inspect the result against the agreed area standard and record specific defects. Verify corrections and investigate recurring patterns. Keep invoice review connected to authorised changes and periodic work. These simple controls give renewal discussions a factual basis and reduce the chance that the same unresolved issues continue under a freshly signed agreement.
