Ask which room or section the group will receive and what privacy or exclusivity means in practice. Inspect at a relevant time where feasible. A photograph or phrase such as private dining may not establish the sound conditions, layout or access the business needs.

Confirm the process for a proposed relocation. A similar number of seats does not automatically provide an equivalent setting for a client conversation or working dinner.

Assuming the menu covers every request

Review included items and the venue's response to known guest requirements with its responsible team. Communicate limitations early enough to consider alternatives. Do not treat a salesperson's general reassurance as confirmation of every dietary or access need.

For example, a revised menu may introduce a different dish without the organiser checking whether it preserves the original guest arrangement. The final briefing should connect those decisions rather than treat menu and requirements as unrelated documents.

Afterward, reconcile the bill and record specific feedback. Use it to identify which venue formats work well for the business and what should change next time. A short, accurate record makes repeat bookings easier without turning familiarity into an assumption that every future occasion will have the same requirements or terms.
