Buying broad ingredient names

Specify the approved product, pack format and characteristics that matter to the intended use. A request for oil, flour or frozen vegetables can describe many different items. Have the kitchen and food-safety teams identify the requirements rather than relying on purchasing to infer equivalence.

Do not let a familiar brand name replace checking the exact product. Different formulations or formats within the same brand can require separate assessment.

Calling every lower price a saving

Compare consistent quantities and relevant operational performance. A larger pack can create unused stock, while a different preparation form can alter usable yield or labour. Use a controlled kitchen assessment where those differences matter.

For example, a cheaper sauce may require more product or recipe adjustment to achieve the intended result. The commercial comparison should reflect the assessed use rather than stop at the carton price.

Approving substitutes at the receiving door

Require the trader to propose alternatives early enough for the responsible reviewers to assess them. Delivery staff and receiving clerks should not have to decide whether a new formulation meets the business's requirements while production is waiting.

Keep temporary approvals limited to the stated order or period. Otherwise, a one-time shortage response can silently become the standard product without the purchasing system or kitchen records being updated.

Losing the connection between food and records

Capture the lot and product information required by the buyer's controls, and link held or returned stock to the original receipt. A credit note alone does not explain what happened to the food. Likewise, a signed delivery note should not override an unresolved receiving assessment.

Review recurring shortages, substitutions and waste with the operational and food-safety teams. Use that evidence to improve pack sizes, forecasts and supplier communication. The aim is a repeatable supply of approved ingredients, not a process that appears efficient because difficult decisions are pushed onto the kitchen after the goods have already arrived.
