Comparing chemical and metal quotations without missing deviations

Resolve technical differences before scoring price

Match every quotation line to the approved RFQ reference. Record the manufacturer, specification, dimensions or concentration where relevant, delivery condition and stated deviations. Refer alternatives to the competent technical owner. Do not describe a proposed substitute as equivalent until that review is complete.

Check the documentation commitment separately. One offer may include batch-specific records while another provides only a generic data sheet. If the buyer requires traceability, the difference affects whether the material can be accepted, not merely the amount of paperwork supplied.

Normalise units and usable quantities

Compare the same unit basis and account for pack size, minimum quantities, cutting allowances or other relevant conversion factors. Use verified product information for any conversion; do not invent density or yield assumptions to make quotations fit a common column.

For metals, clarify whether pricing is based on theoretical or measured weight when that distinction affects the offer. For chemicals, distinguish the quantity purchased from the quantity the buyer can reasonably use within its approved process. Record the assumptions used in the comparison.

Include processing and delivery costs

Add agreed cutting, packing, transport and other charges needed to reach the required delivery condition. Identify exclusions and ask for clarification where responsibility is unclear. Compare the cost of the same delivery sequence and location rather than treating collection from a warehouse as equivalent to delivery to the buyer's site.

For example, a lower-priced metal offer may require the buyer to arrange cutting and restore traceability after processing. Those tasks need a credible cost and technical plan before the offer can be compared with a supplier delivering finished lengths and matching records.

Document the evaluated decision

Keep material acceptability as a mandatory condition. Among acceptable offers, compare total cost, delivery reliability and the evidence supporting the source. Record any premium accepted for a specific operational benefit and any unresolved assumptions. The award should show why the material will be usable for the intended purpose, not simply why one quoted unit price was the lowest.
