Reconcile the service boundary
List the systems and request types included in each proposal. Separate user support, infrastructure operations, security services, backup management and project work. Ask the technical owner to identify any gap between the proposal and the business's operating requirement.
Do not assume that a product subscription includes the service needed to operate it. A supplier may resell a tool while excluding configuration, investigation or recovery work that the buyer expects from the managed package.
Compare the delivery model
Review coverage hours, escalation, on-site attendance and the responsibilities of subcontractors. A rapid acknowledgement target is not equivalent to a substantive response by someone able to act. Ask how the provider distinguishes routine requests from incidents and who sets the priority.
For example, one quote may include remote assistance for a branch but charge separately for every physical visit. If the branch frequently needs hands-on support, the actual cost can differ significantly from the recurring headline fee.
Model changes using common assumptions
Test the same increase in users, devices or locations across proposals. Ask what triggers repricing and how project work is distinguished from routine service. Clarify whether onboarding and exit assistance are included or separate.
Review ownership of subscriptions and records. A low fee may be less attractive if transition requires purchasing new licences or reconstructing documentation that the supplier will not provide under the proposed terms.
Evaluate uncertainty with the technical owners
Mark fixed, estimated and excluded costs in the comparison. Have qualified internal owners assess whether each delivery method can support the required environment. Purchasing should not infer technical adequacy from the number of tools or certifications listed in a brochure.
Record the selected scope and the reasons for any price premium, such as dependable on-site coverage or a clearer recovery responsibility. Use those same commitments during onboarding and service reviews. A useful comparison explains the cost of operating the environment the business actually has, rather than ranking packages whose similar names conceal materially different obligations.
