In brief
Group-dining quotations often combine per-person menus, room charges and minimum-spend commitments. The lowest menu price may not produce the lowest final bill for the actual group. Compare the complete booking at the same attendance level and identify which charges remain if numbers change.

Reconcile the dining arrangement
Confirm the exact room or section, exclusivity, booking duration and menu format. Identify whether the venue can move the group to another space and under what conditions. A lower price for shared seating is not directly equivalent to an exclusive room if privacy is essential.
List included courses, beverages and other items in plain language. Ask the restaurant to clarify ambiguous descriptions rather than assuming the host and venue interpret them identically.
Model the actual attendance
Calculate the total using the expected guest count and test a plausible lower or higher count. Identify how minimum spend interacts with per-person charges and which amounts are fixed. Have the responsible buyer review the actual terms rather than rely on a generic interpretation of minimum spend.
For example, a venue may offer a competitive menu but require a commitment that remains unchanged if several guests cancel. Another may have a higher menu price with different flexibility. The appropriate choice depends on the confidence of the attendance forecast.
Identify extras and decision points
Ask about room extensions, additional courses, beverages outside the package and other likely additions. Record who can approve them on the day. Clarify the deadlines for final numbers, menu changes and cancellation, including the evidence the venue requires to confirm a revision.
A proposal described as flexible should explain the actual process. Willingness to discuss a change is different from a contractual commitment to accept it without cost.
Preserve the comparison for the host
Record accepted inclusions, fixed commitments and unresolved assumptions. Give the host a concise account boundary so they can authorise an extra knowingly rather than discover its effect during settlement.
After the occasion, match the bill to the confirmed booking and approved additions. Use discrepancies to improve future briefs. The comparison has value when it explains the expected cost of the actual dining experience, including attendance uncertainty, rather than simply ranking restaurants by a headline price that does not describe the same purchase.
