Define the item and application

Record the manufacturer, model or reference, relevant dimensions and intended use. Distinguish ordinary decorative fittings from components used in structural, fire-related, access-control or other specialist assemblies. Those contexts may require different evidence and review, so avoid one universal checklist for every item sold by a hardware trader.

Ask the supplier to state whether the offer identifies a specific product or leaves selection open. If the item is not fixed, define the information and approval needed before supply. A similar catalogue description should not bypass the review applied to the original specification.

Identify the applicable product requirements

Where the proposed item falls within an applicable regulated scope, the relevant technical or compliance reviewer should confirm the requirement and evidence through the official route. The existence of that service does not mean every hardware item requires the same certificate.

Check that any document relates to the actual product and scope being offered. Keep technical suitability separate from administrative conformity. A valid document for one requirement does not answer every question about the component's use in a particular assembly or project.

Review the complete assembly responsibility

Ask who confirms compatibility with the surrounding product or installation. A hinge, lock body or fixing may interact with other specified components. Have competent personnel assess those relationships rather than allowing procurement to infer them from size or appearance alone.

Require substitutions to identify changes in reference, material, finish or performance evidence. The appropriate reviewer should accept the replacement before it is ordered or installed. A discount or faster delivery should not compensate for an unresolved essential requirement.

Retain traceability at receipt

Reconcile labels, quantities and relevant documents with the approved order. Separate delivery acknowledgement from technical acceptance where further inspection is required. Record unresolved differences and prevent them from being treated as approved merely because the items arrived. This creates a bounded evidence record for the actual purchase without claiming that a general supplier approval establishes compliance for every fitting in the UAE.
