Set the purpose of the visit

Review the search brief and list the unresolved questions that justify the viewing. Identify which can be assessed through observation and which require documents or a specialist. Send the agency a concise agenda so it can arrange access and obtain relevant information in advance.

Confirm the property identity, meeting point and the person authorised to provide access. If parts of the premises cannot be inspected, record that limitation before treating the visit as a complete assessment.

Assign responsibilities to attendees

Ask operations, facilities or other reviewers to focus on their areas of competence. The agency can facilitate the visit and obtain information, but it should not be expected to replace technical or legal advisers. Keep the distinction clear when recording answers.

Use one person to maintain the common question log. This prevents several attendees from requesting different versions of the same information and makes it easier to identify what remains unanswered after the visit.

Record observations separately from assurances

Before closing the visit, identify the documents, clarifications or further assessments needed. Assign each action to the agency, buyer or relevant specialist and agree a review point. Avoid giving an informal impression that the property is approved when mandatory questions remain open.

Afterwards, update the shortlist with a concise decision: progress, hold pending evidence or reject for a stated reason. Share screening lessons with the agency. A well-run viewing improves both the current property decision and the quality of subsequent options, reducing repeat visits that do not advance the search.
