Identify the supply-chain role
Ask whether the supplier manufactures, imports, stocks, processes or brokers the material. Record the proposed manufacturer and any intermediary or processor relevant to the order. Distinguish information confirmed for the quoted supply from general claims about the company's wider network.
Check the supplier's business identity through the buyer's established process. Where a product or activity-specific requirement may apply, ask for the relevant authority reference and have the competent reviewer assess it. Do not infer universal approval from a commercial licence or a familiar manufacturer logo.
Examine source and substitution controls
Ask how the supplier ensures that the ordered product is obtained from the committed source. Review how it handles stock shortages, alternative manufacturers and mixed lots. Any proposed substitution should be disclosed and reviewed before dispatch, not hidden behind a statement that the item is equivalent.
For a processor, examine how identification is maintained after cutting, repacking or other agreed preparation. Request an example record that follows a comparable order through the relevant steps. The objective is to understand the process, not to collect documents with no connection to the supply.
Test the document trail
Compare sample order, label and quality-record identifiers. Ask who can resolve a discrepancy and obtain original supporting information when needed. A supplier should be able to explain what each document establishes and how it relates to the delivered lot or heat.
For example, a trader may hold a valid generic product sheet but be unable to provide the batch-specific evidence required by the buyer. That is a capability gap to resolve before award. It should not be papered over by adding unrelated certificates to the supplier file.
Keep the review proportionate and current
Record the approved products, sources and processing activities, together with limitations and open actions. Reassess the affected controls when the manufacturer, product, processor or delivery route changes materially. Use competent technical, safety and legal reviewers where the transaction requires them. Due diligence supports a purchasing decision when it explains the actual supply chain and the evidence on which the buyer is relying.
