Images without a specification

Ask whether photographs show the exact product or only a style reference. Obtain dimensions, construction information and finish details appropriate to the item. A picture cannot establish hidden fittings, upholstery composition or the version the supplier intends to deliver.

Be cautious about broad descriptions such as premium quality without evidence. The designer or technical owner should assess the relevant properties for the actual use rather than rely on an adjective in the sales offer.

Lead times without approval assumptions

Ask when the delivery period starts and what drawings, samples or deposits it depends on. Clarify which items are in stock and which require manufacture. A programme that assumes immediate approval is not equivalent to a committed date after outstanding decisions are resolved.

For example, a custom finish may still need a sample review. If that step is omitted from the schedule, the buyer may believe manufacture has started while the supplier is waiting for information.

Uncontrolled substitutions

Require notice and approval for material changes to product, source, finish or construction. A similar-looking replacement can affect dimensions, care or project evidence. Do not accept a general right to supply anything described as equivalent when consistency matters.

Ask how the supplier handles a discontinued item during a phased order. The response should preserve a clear decision route rather than leave the receiving team to accept a different model at the loading bay.

Delivery that ends before usable completion

Check unloading, assembly, placement, fixing where relevant and packaging removal. Review site access before dispatch. A low price can omit practical work the buyer has not assigned to anyone else.

Keep clarifications in the accepted quotation and compare delivered items with the approved baseline. If a material question remains unanswered, resolve it before the irreversible production or installation step. A transparent supplier can explain its product and service boundaries; an attractive image and price are not enough to make the order reviewable.
