List the required reports, drawings, editable datasets and supporting records through the competent technical brief. Identify formats, naming and reference information appropriate to the project. Procurement should confirm the contractual obligation without inventing technical standards independently.
Ask the consultant to distinguish final accepted files from drafts and superseded versions. The receiving team needs one clear current set, with the history retained appropriately. A folder containing every working version without an index can create avoidable uncertainty.
Include the intended use, observed coverage, inaccessible areas and assumptions. Identify information supplied by the buyer or another source and how it was treated. Have qualified reviewers assess any reliance limitations and ensure they are visible to future users.
