Handover and closeout after a UAE corporate event

Reconcile the final scope

Compare the delivered event with the approved brief and authorised changes. Record any agreed alternative or omitted item and its commercial treatment. Do not let a successful guest experience erase a contracted deliverable that remains unfinished.

Ask the agency to provide the final version of the relevant production and closeout record. It should identify outstanding work rather than simply repeat the original plan as though every item was completed exactly as proposed.

Receive the agreed assets

List the files and materials the buyer purchased, such as approved photography, final artwork or agreed programme outputs. Confirm format, version and delivery location. Have the receiving team check that the files can be opened and used for the contracted purpose.

Clarify ownership, licences and permitted reuse through the accepted terms. The buyer should not assume that every image, font, music item or creative element used during the event may be reused without limitation. Refer unresolved rights questions to the appropriate contract reviewer.

Close physical and supplier handoffs

Reconcile buyer-supplied products, hired items and other materials according to the agreed responsibilities. Identify missing or damaged items precisely and record who investigates. Where the agency manages returns through a partner, retain an accountable agency contact until the handoff is complete.

Consider a hypothetical launch that runs well but leaves product samples and hired equipment with different production teams. The closeout list should identify the location and owner of each return instead of assuming all items left the venue with the correct party.

Reconcile costs and lessons

Compare the final account with accepted commitments and authorised variations. Ask for support for unresolved items and keep disputes separate from acknowledged completion. Agree an owner and date for each remaining action.

Review useful planning lessons: decisions that arrived late, dependencies that were missed and controls that worked. Keep the conclusions specific enough to update the next brief. A general statement that the event was successful provides little guidance for the next purchase.

Close the engagement when the agreed outputs and account are reconciled, or issue a clear conditional closeout showing what remains. The buyer should retain a usable event record and the agency should have an equally clear basis for completing its obligations after the production team has moved to another project.
