Classify requests by their actual consequence

Agree who classifies the request and what information is needed. The urgency should reflect the affected function, occupants and available alternatives, not simply whether a resident describes the problem as urgent. Specialist or hazardous situations should follow the property's established emergency and technical procedures rather than be forced into a general handyman queue.

For routine repairs, distinguish an appointment request from a job that is ready for attendance. Missing access confirmation, an unidentified component or an unapproved quotation may prevent completion. Record those dependencies explicitly.

Set separate communication and work commitments

Define when the contractor must acknowledge the request, confirm an appointment, communicate delay and provide an assessment after attendance. Specify the agreed completion measure for work that can be resolved during the visit. For work awaiting parts or approval, require a documented next action and responsible owner.

Do not let a status such as awaiting customer automatically stop every performance clock. State what information is missing, when it was requested and whether the contractor has provided enough detail for the customer to respond.

Require evidence before closure

The completed record should identify the fault, approved remedy, components used and functional check. Decide whether the occupant, property manager or another representative accepts the work. Where the occupant is unavailable, agree what alternative evidence is acceptable and how a later complaint will be handled.

Consider a loose door handle. Tightening the fixing may allow the technician to mark attendance complete, but the relevant test is whether the handle operates correctly and remains secure under the agreed inspection. The closure record should reflect that test, not merely show a photograph of a closed door.

Review exceptions without disguising the result

Track missed appointments, repeat faults, unresolved parts requirements and rejected closure records separately. Explain exclusions rather than deleting difficult jobs from the report. Compare performance by repair type and property conditions before attributing every difference to the contractor.

Use the review to agree corrective actions with owners and dates. A service credit or commercial remedy, if included, needs appropriate contract review. It should complement clear operational responsibilities, because a financial adjustment alone does not restore an unusable fitting or resolve a resident's outstanding appointment.
