Unlimited service without a supported inventory

Ask which users, devices, applications and request types are included. A promise of unlimited support may still exclude projects, on-site work or specialist escalation. Compare the actual service catalogue with the environment the business expects the provider to manage.

Be cautious about a quotation that does not ask enough questions to identify those boundaries. An apparently comprehensive fee may depend on assumptions that later become additional charges.

Broad access as the default

Have the technical and security owners assess the permissions and tools the provider proposes. Named accounts, approval routes and records should reflect the service need. Supplier convenience alone is not a sufficient reason to grant unrestricted standing access across unrelated systems.

For example, a support team may need to assist users without owning the organisation's primary administrative accounts. The parties should define the appropriate arrangement rather than accept an informal credential handover as onboarding.

Tool ownership that prevents exit

Ask who owns subscriptions, configuration records and account access. Establish what the business can export or retain under the agreement and how a transition would work. A provider's internal platform may be useful, but the customer needs enough records to continue operating if the relationship ends.

Resolve any dependence on an individual employee's personal account. A service should not become inaccessible because the person who originally configured it leaves the supplier.

Response promises without practical authority

Ask who answers urgent requests and who can act on them. A contact number and fast acknowledgement are different from competent technical response. Review escalation, on-site coverage and dependencies on other vendors.

Keep the clarified commitments in the contract and onboarding plan. If material uncertainty remains, limit the initial scope or require additional evidence before granting access. A transparent provider can explain what it manages, what it does not and how the business retains control; those answers are more valuable than an unconditional promise to prevent every outage or solve every technology problem.
