Define successful fulfilment
Count a booking as fulfilled against the agreed class and essential features, not simply because some vehicle was delivered. Record accepted substitutes separately from unapproved changes. This keeps the supplier's flexibility visible without disguising a recurring allocation problem.
Distinguish reservation acknowledgement from confirmed availability and actual handover. Agree the evidence for each milestone so the company and supplier do not measure different events under the same label.
Review the employee's operating experience
Track collection problems, missing information and support incidents that required additional coordination. Record whether the employee received useful updates and whether the company coordinator had to intervene outside the normal process.
For a hypothetical project team, a replacement delivered quickly may still be unsuitable for the accepted requirement. Review both the response and the replacement's fit. Do not let one favourable timing measure conceal a material service failure.
Include return and invoice accuracy
Measure unexplained charges, invoice corrections and the quality of dispute resolution. A final invoice should not count as accurate merely because it was eventually corrected after repeated chasing. Retain the original issue and the resolution so the account can identify recurring causes.
Use the booking and condition records to classify issues fairly. Separate a supplier mistake from an authorised extension or a driver action covered by the agreed terms. If evidence is incomplete, record that limitation and improve the process rather than assigning blame from assumption.
Act on branch and programme differences
Break results down where one branch, class or rental period performs differently. An overall high score can hide a location that repeatedly fails late collections or produces disputed return records. Ask the supplier to explain the specific cause and propose a measurable correction.
Use the review to change booking instructions, adjust allocation or test another provider. Set an owner and check whether the correction works on later rentals. At renewal, preserve the context behind the numbers so strong performance on predictable bookings is not mistaken for proven capability under more demanding conditions. The scorecard should support a practical account decision, not serve as a decorative report detached from the employee's actual rental journey.
