Create the shipment and lane baseline
Record collection and delivery addresses, cargo description, dimensions, weight, packaging and any product-specific requirements. Have the cargo owner confirm the information rather than asking the carrier to infer it from photographs. Identify the required vehicle or handling capability with competent operations personnel.
State collection readiness, delivery windows, access contacts and responsibility for loading and unloading. A quote based on dock loading may not cover a site without suitable equipment. Resolve the difference before dispatch, including the process for approving any additional service.
Connect booking to the actual carrier
Identify the contracting company, operating carrier and any subcontracting arrangement. Ask how vehicle and driver details will be communicated and how replacements are controlled. The buyer should know who remains accountable when a transport broker or prime contractor uses another operator.
Agree the booking reference and required acknowledgement. The carrier should confirm the lane, cargo, date and relevant assumptions. A brief message saying confirmed is insufficient if neither side can later establish which vehicle arrangement and delivery conditions were accepted.
Define event and exception reporting
Specify the milestones the buyer needs: vehicle assigned, arrival at collection, departure, material delay and delivery outcome. Ask for a contact who can act during the operating window. Distinguish an estimated arrival time from a confirmed delivery appointment.
For example, a truck may reach a site on time but be unable to enter because the receiving contact is unavailable. The onboarding process should identify who is called, how waiting is recorded and who can authorise a revised plan. Otherwise the first exception becomes a dispute about charges and responsibility.
Test proof of delivery and billing
Use the initial movement to check quantity records, delivery acknowledgement, discrepancy notes and invoice references. Agree what evidence is acceptable when delivery is partial or refused. Approve the provider for the lanes and cargo types demonstrated, with any limitations visible. That gives subsequent bookings a practical operating baseline rather than an unrestricted approval based only on the company's promise of UAE-wide transport.
