Send the receiving team a usable order pack
Provide the approved material specification, quantities, expected packaging, supplier contact and delivery booking details. Include any accepted deviation and the person who approved it. Do not leave the receiving team to reconstruct a technical decision from a long email chain.
Identify the records expected with the shipment and the identifiers that should connect them to the goods. For chemicals, ensure the relevant product information has reached the responsible site teams. For metals, explain the agreed batch, heat or bundle identification and any processing included in the order.
Separate receipt from technical acceptance
Agree how the buyer records arrival, quantity, visible condition and document completeness. Identify which additional checks or approvals are needed before release for use. A delivery signature should not be assumed to prove technical conformity unless the buyer's agreed process explicitly establishes that meaning.
For example, a vehicle may arrive with the correct number of bundles but the material records refer to identifiers not visible on the goods. The receiving record should preserve that discrepancy and route it to the technical owner rather than treating the shipment as fully accepted.
Prepare an exception route
Give the receiving team a contact for commercial issues and a competent owner for technical questions. Define how affected material is identified and held under the site's procedures. Do not improvise handling, return or disposal instructions for chemicals based on a commercial disagreement.
Ask the supplier to provide a named person able to investigate document or source issues. Establish how photos, identifiers and relevant records will be shared without losing the original evidence. A clear case reference helps prevent parallel conversations from producing conflicting answers.
Close the loop with purchasing and accounts
Record accepted quantities, outstanding issues and any agreed replacement or credit. Link the invoice review to the receiving and acceptance evidence. Feed recurring problems back into supplier performance and future order instructions. A disciplined handover reduces avoidable delays while preserving the distinction between goods arriving at the site and material being approved for the buyer's intended use.
