Understand the reference site

Confirm the premises type, service schedule and broad scope. Ask whether the building is occupied during cleaning and whether the supplier provides equipment and materials. These differences affect comparability. A contractor's success in an empty warehouse does not automatically establish its fit for a busy office with restricted rooms.

Check whether the proposed supervisory arrangement resembles the one the reference uses. A strong local supervisor may explain much of the result. If another team would serve your site, ask the bidder how it transfers the relevant practices rather than assuming the same performance follows from the company name alone.

Ask about consistency after mobilisation

Discuss how the service performed after the initial launch period. Find out whether task completion and presentation remained stable through absence or staff changes. Ask what information the customer had to repeat and whether relief personnel understood site restrictions before starting work.

Request an example of a recurring defect. Explore how it was reported, whether the supervisor investigated the cause and whether the correction lasted. A candid description of a problem and effective response can be more useful than unqualified praise that provides no evidence of how the contractor manages exceptions.

Explore the commercial relationship

Ask whether the scope and additional-work charges were clear. Find out how the contractor handled a change in occupancy, an event or a new area. Avoid seeking confidential rates; the useful question is whether the customer could understand and approve the effect before the work occurred.

Discuss reporting quality. A customer receiving extensive checklists may still lack visibility of blocked rooms or incomplete periodic tasks. Ask which records actually help them manage the service and whether the supplier responds when the reporting format needs improvement.

Use the findings to sharpen the award

Record relevant observations and their limits, then compare them with the site trial and proposed agreement. Ask the bidder to address material gaps through a concrete plan or clarification. Keep the reference's information appropriately confidential. The conversation should lead to better supervision, scope or inspection requirements, rather than becoming a public performance claim the evidence cannot support.
