Reconstruct the delivered service
Review completed work orders, repeat complaints, open items and invoices over a defined period. Reconcile what was purchased with what the original contract expected. If the supplier has gradually taken on different repair types or locations, assess those changes explicitly.
Separate supplier performance from property conditions. An ageing component population can increase work even when the contractor performs well. Poor diagnosis or incomplete closure can also generate repeat visits. The renewal review needs enough detail to distinguish these explanations.
Test price against current demand
Build a representative basket from actual jobs, including parts and return visits. Compare the renewal proposal against that basket rather than focusing only on the hourly rate. Identify charges that appeared frequently but were difficult to predict under the previous arrangement.
For example, an unchanged labour rate may accompany higher minimum attendance charges or broader exclusions. Conversely, a higher rate may include a useful change in parts handling or reporting. Evaluate the complete service and record the trade-off.

Ask the supplier what information or process changes would improve repair completion. Better photographs, consistent access confirmation or approved common components may address problems that neither party can solve through price negotiation alone.
Preserve a workable exit route
Ensure the property team can access asset details, repair history, open quotations and unresolved actions. Confirm arrangements for keys, access credentials and buyer-owned spares if the contract ends. These records should be maintained throughout the relationship rather than assembled urgently after a decision to switch.
Document the renewal term, approved scope, commercial changes and review actions. If evidence is incomplete, use a proportionate next step, such as a bounded extension with defined record improvements, instead of presenting an uncertain renewal decision as a fully validated endorsement of every service the contractor offers.
