Rebuild the expected shipment mix

List likely cargo types, origins, destinations and service boundaries. Separate forecast volumes from commitments. Identify specialist handling or acceptance needs for appropriate review and keep final packing assumptions explicit.

Ask the forwarder whether the next-period routes or partners differ from those previously used. An established relationship does not automatically prove capability for a new origin or product requirement.

Review performance across the chain

Examine document corrections, missed handoffs, actionable updates and receiving discrepancies. Distinguish external transport changes from the supplier's response. A delayed flight and a late warning to the buyer are separate issues.

Consider a hypothetical urgent programme where the receiver repeatedly lacks the information needed at arrival. Renewal should address that handoff specifically rather than focus only on a faster advertised transit option.

Reconcile the commercial basis

Request pricing for representative shipments using the expected dimensions, weights and service scope. Ask for the chargeable calculation and conditional costs. Compare final accounts from prior movements with the accepted quotation basis to identify recurring unexplained variance.

Require specific improvements where needed: earlier cargo-data confirmation, clearer airwaybill approval or a named destination coordinator. Define how the buyer will verify the correction on later shipments.

Plan continuity and open shipments

If renewing, update authorised contacts, receiving details and change-approval routes. Keep current records accessible when the usual coordinator is absent. If reallocating work, distinguish shipments already booked or moving from future instructions.

Identify who completes each open movement and resolves outstanding documents or charges. Avoid duplicate or conflicting instructions to several providers for the same cargo. Transfer buyer-owned information through the agreed process and preserve specialist acceptance records where relevant.

Document why the next arrangement fits the programme and what remains conditional. A supplier's good history supports the lanes and service it actually delivered, not a universal promise of speed or suitability. Renewal should preserve useful coordination knowledge while correcting the specific packing, document or destination issues shown by the evidence. The result is a current shipment agreement rather than an automatic extension of a low headline rate whose assumptions no longer match the business's air cargo needs.
