Compare approved schedules with delivered products, quantities and source changes. Review missing documents, damaged packaging, rejected stock and credits. Involve the site and technical teams so the commercial record reflects whether the material could actually be released for use.

Separate supplier problems from late design approvals or revised quantities. A fair review identifies the cause of each material issue instead of treating every return as the same type of failure.

Review commercial and source changes

Compare prices using the same product and units, including pack rounding, delivery and minimum-order conditions. Have the appropriate buyer assess changes to payment or return terms. A lower unit price may not improve the complete supply arrangement.

Ask about new manufacturers, depots or delivery partners. Route material changes through the relevant technical review rather than assume prior approval covers a different source.

Confirm who closes obsolete purchase lines when a design change removes a material. Otherwise, a delayed backorder may still arrive during the renewed period and be accepted by a receiving team that cannot see the revised requirement.

Set clear renewal actions

Resolve outstanding returns and documentation, or record a specific plan with owners. Update the approved product schedule and the process for substitutions. Give site teams the current version so they do not continue ordering against obsolete references.

Keep performance expectations tied to accepted deliveries and useful evidence. A good renewal preserves a dependable relationship while making the next stage's requirements explicit. It should not turn previous success in one range into blanket approval of every material the trader can offer or every delivery arrangement it proposes.
