Reconstruct the actual service delivered
Compare the original scope with current locations, volumes, operating entities and responsibilities. Identify additions made through informal instructions and services that are no longer used. Reconcile the current pricing schedule to accepted work so the renewal does not preserve obsolete charges by default.
Review performance separately for each subsidiary and for the central coordination role. Ask whether group management reduced buyer effort, improved issue resolution or merely added another layer of communication. Use evidence from the contract period rather than relying on the relationship team's summary.
Examine unresolved dependencies
Identify systems, records, access arrangements and bundled pricing that would make a change difficult. Request an updated exit or transition plan. Understanding these dependencies improves renewal decisions even when the buyer expects to retain the supplier.
For example, one workstream may have performed poorly while the others remain valuable. Determine whether it can be replaced without losing necessary reporting or triggering disproportionate changes to the remaining prices. Have material contractual consequences reviewed before presenting the options to the business.
Recheck the proposed future structure
Ask whether the same entities and resources will deliver the renewal. Review relevant changes in ownership, operating businesses, subcontractors and key personnel through the appropriate controls. A familiar group brand should not obscure a materially different delivery arrangement.
Request a refreshed proposal with clear assumptions about future volumes, service levels and improvement commitments. Avoid paying for vague innovation promises that lack an owner, timetable or acceptance measure. Where an improvement is important to the renewal decision, make the required evidence explicit.
Choose the right renewal shape
The options may include renewing the full bundle, changing the mix, reducing scope or running a targeted competition. Document why the chosen structure fits the next contract period and which conditions must be met. A renewal decision should preserve demonstrated value while correcting weaknesses, rather than treating the administrative convenience of one group agreement as sufficient reason to continue every workstream unchanged.
