Define the accepted order

State how the authorised coordinator sends the list and how the shop confirms products, sizes, options and quantities. Identify when the order becomes committed and how a later change is approved. Several employee preferences should become one controlled instruction rather than separate conflicting messages.

Ask the shop to report unavailable items before substituting where approval is required. Relevant ingredient differences should be communicated specifically; the supplier should not assume any similar product is suitable.

Specify identification and receiving

Require labels or another agreed method that connects customised items to the confirmation. A delivery can contain the correct number of cups while still being unusable because recipients cannot identify them. Include the receiving point and contact role in the order record.

If a delivery partner is involved, identify the shop contact accountable for an incomplete or failed handoff. The organiser should not be left deciding whether the shop or courier owns a missing-item enquiry.

Make correction practical

For a hypothetical meeting order arriving with an uncertain label, define how the coordinator obtains clarification and what correction the supplier can offer. Do not distribute the item on assumption while waiting for an answer.

Record a missing or mislabelled item separately from taste feedback. The former concerns fulfilment of the accepted order; the latter can inform menu selection without necessarily indicating a service defect.

Review meaningful service evidence

Measure complete-order accuracy, clear identification, receiving reliability and resolution of agreed corrections. Avoid treating dispatch time alone as successful delivery. Review repeated problems by outlet and order type so a strong overall result does not conceal one recurring meeting issue.

Reconcile charges and credits with the confirmed list and approved changes. Keep the account's support route available to a backup coordinator so the process does not depend on one employee's personal relationship with the counter team.

The SLA should remain proportionate to the service. A short clear ordering and correction agreement is more useful than a complex dashboard that nobody maintains. Its purpose is to make the office's next action obvious when the prepared order differs from the confirmation and to give the shop a fair, verifiable basis for improving the business account.
