Define readiness milestones

Agree when the operator will provide the confirmed itinerary, reservation status, operating contacts and unresolved-action list. Identify which guest information or approvals the buyer must supply and by when. A readiness review should show dependencies rather than conceal them behind an overall ready status.

For each essential component, establish the evidence of confirmation and the process for accepting a substitute. The buyer should know whether a proposed experience has been booked or remains an intention that depends on later availability.

Specify live communication responsibilities

Name the programme lead and the backup arrangement. Define the communication channel for routine updates, urgent operational issues and commercial approvals. Confirm who can contact the group directly and how messages remain consistent when hotel, transport and activity providers are involved.

A useful commitment concerns timely information that enables a decision, not simply rapid acknowledgement. A message saying the matter is being checked provides limited help if the group needs to know where to meet or whether a transfer is still coming.

Establish an exception record

Require the operator to record the issue, affected guests or component, proposed action, approval and eventual outcome. Protect personal information appropriately and avoid circulating detailed guest records in broad operational groups.

For example, an attraction becoming unavailable may require a revised route and meal time. The exception record should show who approved the alternative, what cost changed and how guests were informed. It should not only state that a replacement activity was delivered.

Review performance against the brief

Assess confirmed services delivered, significant itinerary changes, communication quality and reconciliation of additional charges. Include feedback from the group leader and relevant participants, while distinguishing personal preference from a failure to meet an agreed requirement.

Discuss supplier-controlled issues and external disruption separately, then examine whether the operator responded as agreed in either case. The contract can set commercial remedies where appropriate, subject to review, but a useful service level primarily gives both parties a clear operating rule before the programme begins and reliable evidence for improvement afterward.
