Define planning outputs with usable content
Specify what the production plan, decision calendar and run sheet must contain. A document delivered on time is not useful if it omits supplier confirmations or leaves critical decisions unowned. Identify the buyer reviewer and the process for correcting an incomplete submission.
Keep confirmed information separate from assumptions. The agency should report a dependency that threatens readiness and identify the next decision, rather than update the document without drawing attention to the issue.
Assign authority on event day
Name the agency lead, buyer decision-maker and relevant technical contacts. State who may alter the sequence, approve a workaround or commit additional cost. The authority should be practical enough for the event to continue while preserving important approval boundaries.
For a hypothetical technical interruption, ask who coordinates the venue and production supplier and who communicates with the organiser. Several competent specialists can still fail to recover efficiently if each waits for another party to own the decision.
Distinguish recovery from full resolution
A programme may continue using an agreed alternative while an original technical or content issue remains unresolved. Record that limitation and the next action. Do not describe a workaround as complete delivery of the original scope unless the buyer has accepted the change.
Require an incident or issue record proportionate to the event. It should capture what happened, the decision taken and any follow-up, without distracting the team with unnecessary reporting during a live problem.
Review completion beyond event day
Include final assets, agreed attendee outputs, hired-item reconciliation and the final account where they belong to the purchased scope. Give open closeout items an owner and due date. The service should not become unresponsive once the venue is cleared.
Measure readiness, execution and correction using a small set of verifiable commitments. Avoid attributing outcomes such as every invited guest attending entirely to the agency where other parties control them. A useful SLA tells the delivery team what information and authority it needs at a difficult moment and gives the buyer a fair basis for assessing the planning and production responsibilities it actually purchased.
